Privacy policy

This privacy policy explains how the Kwok Jing Cultural Funds Association (“we”) collects and uses your personal data when running the GiveHK platform (givehk.com). We comply with the Personal Data (Privacy) Ordinance of Hong Kong.

1. Information we collect

When you log in: your email address, and if you use Google login, the name provided by your Google account. When you set up your profile: your display name, home district and (optionally) work district. When you use the platform: the item details and photos you upload, your request notes, preferred pickup times and transport arrangements, messages with other users, reports, and basic technical records (such as login times). We never ask for your income, ID card number or family situation.

2. How we use it

To provide the service (including sending login codes, matching givers and receivers, delivering messages, and sending welcome and request-related emails, which you can turn off in Settings), to keep the platform safe (including handling reports, automatic safety checks and preventing abuse), and to produce overall statistics (such as the number of items given).

3. What other users can see

Your display name, home district, the items you give, how many items you have given and your giving badge (which you can hide in Settings). Your request notes, pickup times and transport arrangements are visible only to the relevant giver. Your email address is never shown to other users.

4. Messages and safety checks

Messages are normally visible only to the two people in the conversation. To prevent scams, the system automatically checks messages against preset rules for mentions of payment, amounts, account numbers or links. A general mention of payment only shows a reminder in the conversation. Messages that appear to ask for payment or contain links are flagged for review by our team (the message is still delivered). Listings are checked in the same way for possible prohibited items.

Only authorised team members can view a conversation, and only when it has been reported by a user or flagged by the system, in order to handle safety issues. Every view is logged. We never send your messages to external artificial intelligence services for analysis, and never use them for advertising.

5. Retention and deletion

Messages are automatically deleted 12 months after an item is given, withdrawn or removed, except for conversations with unresolved reports, which are kept until the report is handled. You can ask us to delete your account and related data at any time by emailing [email protected]. After deletion, we will remove your personal data within a reasonable time, but may keep limited records needed to handle reports.

6. Data transfers

We never sell or rent your personal data. The cloud service providers we use (including website hosting and email delivery) may store data outside Hong Kong, and we take reasonable steps to protect it.

7. Access and correction

You have the right to access and correct your personal data. For any questions, email the Kwok Jing Cultural Funds Association at [email protected].
